This policy explains what Toastie.io collects and why, in plain language. It reflects how the platform works during the early-access pilot and may be updated as the service evolves.
Who we are
Toastie.io ("Toastie.io", "we", "us") is an independent operations platform for member-led clubs. This policy covers the marketing site, the pilot application form, and the club application used by officers, members, and guests.
Information we collect
Pilot applications
When you apply for the free pilot, we collect the details you enter on the form - typically a contact name, email address, and information about your club. Please do not submit passwords, payment details, government identification, health information, or information about children.
Accounts and sign-in
Club officers and platform administrators sign in with Google. We receive your name and email address from Google to identify your account. We never see or store your Google password.
Club and member data
Officers add the information needed to run their club - such as members, guests, meeting agendas, roles, votes, recognition, events, and contributions to the "Coffee on Me" fund. This information is entered and controlled by the club.
Technical data
Like most websites, our host records standard server logs (for example IP address and browser type) to keep the service running and secure. We use a small number of strictly necessary cookies to keep you signed in; we do not use advertising or cross-site tracking cookies.
How we use information
- To review pilot applications and contact applicants.
- To provide the club application and platform console.
- To keep accounts secure and prevent misuse.
- To respond to your questions and support requests.
The "Coffee on Me" feature records contributions for a club's own records. No payment is processed and no card details are collected. Contributor names stay private to club officers unless the contributor chooses to show their name; totals may be shown publicly.
How information is stored and shared
Club and account data is stored in our managed database (Supabase) and the application is hosted on Hostinger. We use Google for sign-in. These providers process data on our behalf so we can run the service. We do not sell your personal information, and we do not share it except to operate the service, comply with the law, or protect our users.
Data retention
We keep information for as long as needed to provide the service and for a reasonable period afterward, then delete or anonymize it. Clubs may request deletion of their data (see below).
Your choices and rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. To make a request, contact us using the details below. Club members should also contact their club's officers, who control the club's records.
Children
Toastie.io is intended for club administration by adults. Please do not use it to collect information about children, and do not submit such information through the pilot form.
Changes to this policy
We may update this policy as the service develops. We will change the "last updated" date above and, for significant changes, provide a more prominent notice.
